Privacy Policy

Who we are

DIG Outdoors, LLC (“DIG Outdoors,” “we,” “us”) is a landscaping and design/build company operating in Texas. This policy explains what information we collect when you view or pay an invoice, and what we do with it.

What we collect

When you receive or pay an invoice, we hold:

  • Your name, service address, billing address, email address, and phone number
  • Details of the work performed and the amounts invoiced and paid
  • Records of payments, including the date, amount, payment method type, and the last four digits of the card or bank account used
  • If you enroll in automatic payments: the date, time, and IP address of your authorization, retained as evidence that you agreed to it
  • Whether and when an invoice link was opened, which we use to answer questions about whether an invoice was received

We do not store your card or bank account number

Payment details are entered directly into a secure form hosted by Stripe, our payment processor. Your full card number or bank account number is transmitted from your browser to Stripe and never reaches DIG Outdoors’ systems. We receive only a token that lets us request a payment, plus the last four digits for your reference.

This means we cannot see, retrieve, or disclose your full payment details, and a breach of our systems would not expose them.

How we use it

We use your information to:

  • Send invoices and payment reminders
  • Process payments you authorize
  • Keep accurate accounting records, as required by law
  • Respond to your questions about your account
  • Calculate applicable Texas sales tax

We do not sell your information. We do not use it for advertising, and we do not share it with anyone for marketing purposes.

Who we share it with

We share information only with service providers who help us operate:

  • Stripe — payment processing. Governed by Stripe’s own privacy policy.
  • Intuit QuickBooks — accounting and bookkeeping records.
  • Postmark — sending invoice and reminder emails.

We may also disclose information where required by law, or to our accountants and legal advisors in the ordinary course of business.

How long we keep it

We retain invoices, payment records, and related correspondence for at least seven years, as required for tax and accounting purposes. Records of automatic payment authorizations are kept for the life of the authorization plus the period in which a payment could be disputed.

Payment links expire and stop working after a set period, typically 90 days.

Your choices

  • Automatic payments are optional. You can pay each invoice individually, and you can cancel an existing authorization at any time by emailing us.
  • You can ask us to correct your information — email address, phone number, service address — at any time.
  • You can ask what we hold about you and we will tell you.

Note that we cannot delete accounting records we are legally required to keep, even at your request.

Security

Invoice links are individually generated, expire, and can be revoked. They give access to a single invoice and nothing else. Payment pages are served only over an encrypted connection. Payment credentials are held by Stripe, a PCI DSS Level 1 certified provider, rather than by us.
